Veterans Community Project (VCP) Overview 

Founded in 2016 in Kansas City, MO, VCP is dedicated to supporting every man and woman who took the oath to defend our nation. The greatest barrier to ending Veteran homelessness is the revolving door of unstable housing and the frustrating maze Veterans must navigate in order to get basic support. We believe that to be an effective program, the first step is to connect Veterans and the community. VCP created an innovative homeless housing program and outreach assistance that provides inclusive services to aid Veterans in re-claiming control over their lives.

The Role

The Donor Services Specialist is responsible for data entry and maintenance of donor records, gift coding, reporting on donors, volunteers and gifts, and supporting VCP’s ongoing donor activities. The position is responsible for generating regular reports on donor activity and marketing performance, maintaining data integrity, and collaborating with the Development, Marketing, and Finance teams to ensure accurate gift documentation. 

Essential Duties and Responsibilities 

  • CRM Management (Virtuous): Enter and maintain accurate donor/volunteer data, logging interactions and ensuring all records are up to date. Process donations and generate thank-you letters, receipts, and acknowledgments for donors. 
  • Reporting and Data Management: Generate weekly and monthly reports on donor/volunteer activity and marketing campaign performance. Perform regular data maintenance to ensure the integrity of CRM records. 
  • Collaborate with Development & Marketing Manager and the Finance Team to ensure accurate gift coding and gift documentation is recorded. 
  • Support donor retention initiatives. This may include special calls, notes, or emails to first-time/renewed donors, monthly donors, event organizers, volunteers, and/or tribute families.  
  • Maintain donor records with a high level of accuracy and consistency. 
  • Additional back-of-house philanthropic tasks, as needed and appropriate for the scope and nature of the position. 

Competencies and Areas of Expertise 

  • Bachelor’s degree or equivalent experience. 
  • 1–3 years of progressively responsible experience, or a combination of education, training, and experience that equips you with the necessary skills and knowledge to excel in this role, preferably in a non-profit environment. 
  • Excellent interpersonal skills, strong self-awareness, and a dedication to building meaningful relationships. 
  • Advanced proficiency in CRM systems (experience with Virtuous is a plus). Strong command of Microsoft Office Suite (Word, Excel, PowerPoint).
  • Self-driven, goal-oriented, and able to achieve results with minimal supervision. Strong commitment to confidentiality when handling sensitive information and materials.
  • Flexibility is crucial in this fast-paced environment, with a willingness to adapt, take on additional responsibilities, or shift priorities to support the success of the organization. 
  • Exceptional organizational skills and keen attention to detail. 
  • Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines. 
  • Capable of managing projects and workload independently while working collaboratively with the rest of the team.
